How does the calendar look from workers side?

In this article, we will discuss how the worker calendar can used for workers to:

  1. View/Submit Availability

  2. View/submit time off requests

  3. View/submit time punches

  4. View/submit reimbursements

You can view your calendar from your Roosted homepage. To access the calendar, simply click Go to Calendar on the homepage.

Or click the profile icon in the top right & Calendar.

You will see your calendar like below:

The following actions are possible:

View/Submit Availability:

Click on the current day on the calendar or select a day in the future, scroll down to the bottom of the page & click + on the right side of the availability box.

Add start & end time for your availability and select any or all of the following:

  • All day - entire day availability

  • Overnight - the current day and throughout the night

  • Repeating - this will add this availability to all the following days - if Thursday, Dec 2nd from 9 am - 5 pm & will be set available / Repeating - this availability will apply to all following Thursdays.

    Once you have submitted your availability, view it from your calendar or select the day:

Symbols on the calendar provide additional information when you hover over them:

  • A grey calendar with a tick indicates that you have submitted availability for that day.

  • A yellow calendar with a line through it indicates that you have not submitted availability for that day.

View/Submit Time requests:

To submit time off requests, click on the current day, or any future day. Click the + on the right side of the Time Off section.

Select a start date and time, an end date and time, and optionally provide a reason. Management will be able to view this reason when reviewing your time off requests.

Once the time off request is added, a grey plane symbol will show on the dates. Your time off will be pending for approval.

If your time off has been approved, the above will change from Pending to Approved.

If your time off has been rejected, the submitted time off request will be removed from your calendar.

View/Submit time punches:

Select and add time punches for the current day or a past day - these will be submitted for approval to your management team.

To add a time punch, select the day, scroll down, and click the + next to Time Punches. On the next screen, enter the time and click Add.

This will then appear as a Pending time punch:

A grey clock symbol indicates that there are time punches added to that day.

When you have submitted a time punch, yet to be approved or rejected, it can be edited or deleted - click the wrench to the right side and adjust or delete your time punch.

If you delete a time punch, it will become a Pending Delete time punch, meaning your management team must approve the deletion.

If your time punch is approved, its status will change from Pending to Approved. If it is rejected, it will be removed from your calendar.

If the + symbol is not available, it may be because you have selected a day in the future or your company has disabled this feature.

View/Submit Reimbursements:

If your company allows reimbursements to be submitted, click the day & at the bottom click the + on the right side of where it says Reimbursements.

There are 2 different types of reimbursements, standard & mileage

Standard:

An amount-based reimbursement, such as for parking expenses.

If you select Standard, enter the reimbursement amount in the Amount field, add an optional comment, and upload a receipt picture.

Depending on your company settings, uploading a receipt picture may be mandatory before the reimbursement can be submitted.

Mileage:

Used if your company reimburses based on distance.

To use this option, select Mileage and enter the number of miles covered. Depending on your company settings, it may be mandatory to submit a mileage picture/map.

General reimbursement information:

Once you have added your reimbursement, it will appear as pending on your calendar, awaiting approval from your management team.

Submitted reimbursements will appear as a grey icon on the day.

Before the reimbursement is approved or rejected, you can delete it by clicking the trash can on the right side.

If the reimbursement has been rejected, it will appear as shown below.

And if this has been approved, it will show as below.
