Using Agency Placeholders in Your Scheduling Process

In this article, we will discuss what Agency Placeholders are and how you can use them in your scheduling process.

What Are They?

Agency placeholders are workers from outside agencies who are helping with certain events or shifts. You can to add their information to your account and store it for events.

How Can I Use Them?

On each shift, you have the option to ADD PLACEHOLDERS. This feature allows you to store information about these external workers without a need to create Roosted accounts for them, ensuring they do not count towards your usage total.

How Do I Add Them?

When scheduling an event, you will see an ADD PLACEHOLDERS button on each shift you create. Click this button to add the necessary details for agency workers.

When you click it, you will see an optional form to complete, with details such as an Agency Name, Worker Name, Worker Email & Worker Phone.

When you have completed entering the information, you can:

- SUBMIT AND ADD ANOTHER - will add the first worker and display a new blank form,

- SUBMIT - will save the information and bring you back to the previous screen

- CANCEL - will cancel and not add the information you have entered.

When you have submitted the information, the placeholder(s) will appear as shown below.

Placeholder Time-Tracking

You can add time punches to placeholders and share a link with an agency, to allow them to punch in.

When you add a placeholder position, you will see a time-tracking password, a time-tracking link, and a time-tracking total.

You can share the link with a worker by clicking EMAIL LINK.

When you do this, the time-tracking link will be sent to the email address that was added to the 'Worker Email' section - using this method you won't need to share the Time-tracking password, as it the worker will log in via the link directly.

You can also provide the worker with the generic login link: login.roostedhr.com/agency_login

Here, they will have to input their email and password - if you use this method, you will need to provide the worker with the password chosen in the settings.

You can also add time punches to these shifts by clicking ADD PUNCH & following the same process for regular worker time punches.

Deleting a placeholder

Click the placeholder you want to remove and click the Delete button.

When deleting a placeholder the system will NOT ask you to confirm, deletions are carried out with ONE CLICK and cannot be undone - if you delete by accident you will need to re-enter the information.
