What is Document Signing?

Document signing in Roosted allows you to send documents to workers for them to complete and sign. This includes various forms such as worker policies, government documents like W-9s, and more.

How Does It Work?

  1. Access Document Signing:

    • Go to a worker's profile in the Workers Module.

    • Click the wrench icon next to the worker's name.

    • Navigate to Worker Info and select Documents.

  2. Send Documents to Sign:

    • In the Documents section, choose Document Signing Requests.

    • Select from the available templates or upload new ones.

    • Submit a document signing request, and an email will be sent to the worker prompting them to sign the documents.

    • Workers can also view and sign their documents via the mobile app or website.

  3. Document Management:

    • Once signed, Roosted automatically adds the completed documents to the worker's uploaded documents section.

    • For documents requiring additional signatures (e.g., W-4s, I-9s), you can set up a process to capture multiple signatures.

How Do I Add Templates?

To add templates:

  • Send the documents to Roosted.

  • We will work with you to organize and set up your templates according to your requirements.

How Do I Send Templates?

  1. Navigate to the Workers Module:

    • Click the blue Admin bar on the left side of the screen.

    • Select Workers.

  2. Initiate Document Signing:

    • Click the wrench icon next to the worker’s profile.

    • Go to Worker Info and then Documents.

    • In the Document Signing Requests section, you can view and manage document signing statuses, including Pending, Completed, Declined, or Cancelled.

By following these steps, you can efficiently manage document signing and ensure all required documents are completed and stored properly.

Document Signing Statuses

Pending Requests:

  • These are requests that have been sent to the worker but have not yet been signed.

Completed Requests:

  • These are requests that have been signed by the worker, with the completion date noted.

Declined Requests:

  • These are requests that the worker has declined, along with the date of decline.

Canceled Requests:

  • These are requests that have been canceled by you, with the cancellation date noted.

How to Send a New Document Signing Request

  1. Initiate a New Request:

    • Click on NEW REQUEST.

  2. Select Document:

    • Choose the document you want to send from the dropdown list.

  3. Send the Request:

    • Click SEND REQUEST.

This will prompt an email to the worker, asking them to complete and sign the selected document.

After Sending a Request:

  • The request will appear under Pending in the Document Signing Requests list on the worker's profile.

Sending Multiple Document Signing Requests:

  1. Navigate to the Workers Module:

    • Go to the Workers Module via the blue admin bar on the left-hand side.

  2. Select Workers:

    • Click the checkbox in the top-left corner of each worker's profile to select multiple workers.

  3. Send Requests:

    • Follow the steps to send Document Signing Requests to the selected workers. This will streamline the process for managing multiple document signing requests at once.

You can also select all workers by clicking the box at the top left of the page.

When you have selected multiple or all workers, you will see a box that informs you how many workers have been selected and from here you can click to expand the dropdown option.

From the dropdown, select Send Document Signing Request. Then, choose the envelopes you want to send to the selected workers. Once you’ve made your selections, click SEND REQUEST.

When you SEND REQUEST, you will be charged per envelope as outlined in your proposal. For more details, please contact your Client Success Specialist.

Where do pending documents appear for workers?

Pending documents will appear on the worker's homepage, both on the desktop and mobile app.

How can I check which signing requests have been sent to workers?

Admins and Owners can view a list of Pending Document Signing Requests from their Dashboard. By expanding each worker’s name, you can also see the dates when these requests were sent.
