In this article, we'll cover how to use the Client Signature feature to obtain signatures from clients or senior staff members at the end of an event.

Overview

The Client Signature feature is a valuable tool for both invoice tracking and billing, as well as for confirming the completion of an event. You can attach a client to each event you create, making it easier to gather signatures for verification and record-keeping purposes. This feature supports two primary uses:

  1. Client Signature: Obtain a signature from the client if they are physically present at the event.

  2. Senior Staff Signature: Obtain a signature from a senior member of staff (e.g., a Captain) if the client is not present.

How to Obtain a Signature

  1. Client Signature:

    • The Event Time Tracking Manager, Admins, or Owners can collect a signature from the client at the end of the shift.

    • If the client is present, you can simply tap Client Approval. The system will prompt you to confirm this action, as it will lock all-time punches for the event.

  2. Senior Staff Signature:

    • If the client is not available, you can obtain a signature from a senior staff member. This ensures that event completion is still documented and verified.

Steps to Collect a Signature

  1. Attach a Client to the Event:

    • When creating an event, attach the client to facilitate invoice tracking and billing. This also helps in obtaining their signature post-event.

  2. Initiate the Signature Process:

    • At the end of the shift, access the event details.

    • Tap Client Approval (or the relevant option for senior staff).

    • Confirm the action when prompted. This will lock the time punches and finalize the event documentation.

By using the Client Signature feature, you ensure that all necessary approvals are secured, enhancing accountability and streamlining your billing process.

Once you tap the Show Approval Screen, you'll be prompted to hand the device to the client for their review and signature. On this screen, the client will see:

  • List of Worker Names: A detailed list of all workers involved in the event.

  • Time Punches: Records of start and end times for each worker.

  • Total Hours: A summary of total hours worked, calculated at the top of the page.

The client can review this information and provide their signature directly on the device to complete the approval process.

When the client is ready to sign, they should follow these steps:

  1. Click "Sign": This will prompt them to enter their name and add any optional comments.

  2. Click "Next": The screen will rotate, allowing the client to write their signature directly into the designated box.

  3. Submit: After entering their signature, the client should click Submit.

Once the submission is complete, the client will be prompted to return the device.

If you prefer to have a senior staff member (e.g., a Captain) review and sign off at the end of an event instead of the client (if the client is not physically present), follow these steps:

  1. Event Time Tracking Manager:

    • Use the same process as outlined above for the client signature.

    • Instead of involving the client, the senior staff member will review the details and provide their signature directly.

Client Signature Settings

You can enable or adjust the Client Signature settings according to your preferences by navigating to:

  • Configuration -> Settings -> Time Tracking -> Client Signature.

Here, you can turn the Client Signature feature on or off and make any necessary adjustments.
