Time Tracking Filters to manage time punches and address issues

Using Time Tracking Filters

In this article, we will explore how to use the Time Tracking Filters to manage time punches and address issues through the Time Tracking Module.

Filtering Options:

The filter feature allows you to display only those workers who have time punches or those with issues related to their time punches or reimbursements.

Applying Filters

  1. Accessing Filters: Click the funnel icon next to the worker dropdown menu.

  2. Filtering by Time Punches:

    • Show Workers with Time Punches: Toggle the 'Time Punches' option to display only workers with recorded time punches.

  3. Filtering by Pending or Missing Punches:

    • Pending Time Punches: Toggle the 'Pending' option to show workers with time punches that are awaiting approval.

    • Missing Time Punches: Toggle the 'Missing' option to show workers who have missing time punches.

    • Pending Punch Changes: Filter workers with changes to their time punches that are still pending.

    • Pending Reimbursements: Display workers with pending reimbursement requests.

  4. Combining Filters: You can combine filters to show workers who have both time punches and pending or missing punches by toggling both options.

These filters will help streamline the process of reviewing and addressing time tracking issues efficiently.

In the example below, we have two workers, Allen Waters and Annabelle Niver. Their time punches are displayed as follows:

  • Allen Waters

    • Total Punches (Tot): Shows the total number of time punches recorded for Allen.

    • Pending Punches (Pend): Indicates the number of time punches awaiting approval.

    • Punches Requiring Attention (Attn): Displays the total number of punches needing further review or action.

  • Annabelle Niver

    • Total Punches (Tot): Displays the total number of time punches recorded for Annabelle.

    • Pending Punches (Pend): Shows the number of time punches pending approval.

    • Punches Requiring Attention (Attn): Indicates the total number of punches requiring attention.

These indicators help you quickly assess which workers have time punches that need to be reviewed or addressed.

Pending Punches (Issues with Time Punches)

Punches can be pending because of any of the following:

  • The worker has suggested an edit or deletion

  • Uneven number of punches

  • Location is incorrect at the time of punch - applies to if you are using Geo-Fencing and the worker has punched in/out from outside the geo-fencing distance you have set.

  • There is a pending reimbursement from a worker.

The punch-in and punch-out times exceed the maximum normal shift time, set at 10 hours (see Time Punch Settings). In the example below, the time punches are 11 hours apart, surpassing the maximum shift duration.

Fixing Pending Punches

  • If a worker has suggested an edit or deletion, approve this by clicking the grey box & approve.

Because the time punch shown below has been deleted, it will fix the other two time punches.

If a worker's location shows as incorrect, it can be approved by clicking the blue tick & approve.

If there are multiple incorrect location punches, you will have to approve each one.

  • If there is a pending reimbursement, you can approve or reject it by clicking the blue tick or the yellow X and confirming.

If a worker's shift length exceeds the maximum normal shift time, you can adjust the Punch-Out as follows:

  1. Click the wrench icon next to the time punch.

  2. Select Modify.

  3. Check the box labeled Override Max Shift Time.

  4. Click Submit.

This will allow you to save time punch despite the extended shift duration.

This will fix the pending time punch and will now show as a successful IN & OUT punch.
