How to set hours and shift limits across your company or on individual workers.

In this article, we will discuss Shift Limits and how they can be used in your scheduling process.

What are they?

Efficient scheduling and compliance with labor laws are crucial for any organization. Roosted provides a feature called Shift Limits, allowing you to set hours and shift limits across your company or for individual workers. This is particularly useful for managing part-time staff and controlling overtime expenses.

Configuring Shift Limits

To set up shift limits in Roosted, follow these steps:

  1. Navigate to Settings: Go to Configuration and select Settings.

  2. Locate Shift Limits: Within the settings, find the Shift Limits section.

You can set 2 different limits:

  1. Company-Wide Limits:

    • Define the maximum number of hours and shifts that any worker can be scheduled for within a specified period (e.g., per week or per month).

From this section, set limits on the number of hours a worker can work in a week or in a week. In the example above, all the workers are restricted to either 40 hours or 5 shifts per week.

Set Individual Worker Limits:

  • Customize limits for specific workers, which can be useful for part-time staff or those with specific scheduling constraints. These settings are in the workers' profile: Worker Info -> Limits.

From here you can set worker shift or hours limits.

Understanding Worker Limits in Roosted

Worker Limits Override Company Limits:

Worker-specific limits always take precedence over company-wide limits. For example, if the company limit is set to 40 hours per week, but an individual worker's limit is set to 50 hours, that worker will only be flagged when they exceed the 50-hour limit.

Included Shifts in Limits Calculation:

When calculating whether a worker exceeds their limits, both, regular open shifts and alternate shifts are included. Alternates may automatically move up to fill open spots, impacting their total hours and shifts.

Exceptions:

Hours and shift limits do not apply to Anytime Punches.

How Limits Appear When Scheduling:

While scheduling events, you can see the number of hours and shifts a worker has been scheduled for in two sections:

  1. Regular Hours and Shifts: Displayed on the left-hand side.

  2. Inclusive of Alternate Shifts: Displayed on the right-hand side.

This dual view helps you manage and monitor worker limits effectively during scheduling.

Can I Override the Limits?

Yes, you can override the limits. These limits are designed to provide a clear view when scheduling, but you always have the flexibility to assign and invite workers to open shifts directly. If scheduling a worker for a position pushes them over their set limits, it will be indicated as shown below.

Impact on Sign-Up Bot & Worker Sign-Up/Request

If assigning a worker to an open position would exceed their set limits (either company-wide or individual), the Sign-Up Bot will not contact that worker for the shift.

Similarly, workers will not be able to sign up for or request shifts if doing so would push them over their specified limits, based on the company settings. This ensures that all scheduling adheres to the predefined limits for each worker.
