How to set up your account so it meets all your needs? All the possibilities explained.

In this article, we’ll guide you through adjusting your Roosted settings to tailor your experience perfectly!

Accessing Your Settings

To find your settings page, navigate to Configuration and then select Settings.

The settings page is organized into four main sections:

  1. Shift Options

  2. Worker Interaction

  3. Worker Communication

  4. Admin & Time Tracking

Each section offers various options to customize and enhance your Roosted experience. Let's dive in and explore these settings to make the most out of your platform!

Shifts Options:

Shift Requests:

Shift Requests is the process of allowing your workers to request to work on shifts that are available with their skillsets.

Multiple Shifts per Day:

Multiple shifts per day does exactly what it sounds like. This allows workers to pick up multiple shifts in a day as long as they do not conflict with each other time-wise.

Shift Equalizer:

Shift Equalizer is the process of evenly balancing your workers, with the highest and lowest ratings across 2 events on the same day.

Shift Visibility:

With Roosted, workers earn privileges and perks by showing up on time, doing their job well, and staying committed to your company. One of these privileges is the length of time into the future that a worker can see, and sign up for or request, available shifts.

Shift Limits:

​This allows you to set limits on workers signing up for shifts based on the number of shifts and number of hours each week.

Worker Interaction:

Bailouts

A bailout is a worker removing a shift from their schedule.

Availability & Time Off Requests

Availability is a way for workers to let you know that they are available to work. Time Off Requests can be submitted for admin approval (depending on the company settings).

Reviews and Stars Visibility

Each worker will have a star rating which will appear on their profile and a star rating reviews that have been added after a shift the worker has completed.

Blogs

Blogs are used to relay information or as a company newsletter. Blogs can be turned on or off.

Coworker Display

You can display information to workers about their coworkers on each shift and/or event.

Calendar Sync

You can allow workers and admins to sync their Roosted calendar to their Gmail or Apple calendars.

Worker Communication

Sign-Up Bot

Sign-Up Bot is the best to help schedule your workers for open shifts and can be used automatically or semi-automatically (giving you more control).

Shift Check-In Bot

Shift Check-In Bot is used as a reminder system for your workers, informing them they have a shift coming up. This can also give you peace of mind that the worker will be there.

Silence / Testing Mode

Silence / Testing Mode allows you to test out creating schedules without contacting any of your workers.

Text Message Notifications

You can adjust how and what type of text messages you would like to send to your workers.

Custom Account Messages

are tailored error messages that appear when a worker attempts to log in, but their account is either inactive or pending approval. These messages provide clear information to the worker and include your company's HR contact details, which are entered on your Company Info page.

Invite to Work

Invite to work is essentially a self-exploding offer. The main use is to invite workers to work a shift when you are unsure if they are able to work the shift.

Shift Update Notification

Shift Update Notifications are used to communicate any changes you have made to shifts that they are working.

Admin

Daily Summary

The Daily Summary provides admins with information on all upcoming shifts. You can enable or disable this feature and choose to receive it daily or weekly. It includes various details about events, and you can also choose to hide worker phone numbers, email addresses, shift comments, and skillset comments.

Calendar View Options

Calendar View Options allows you to customize how you would like Calendar View to appear when using it.

Worker Profile Locks

You have the ability to lock workers from updating information on their profiles.

Shift Publishing

The Shift Publishing feature allows you to work on and edit shifts while they are in an unpublished status. You can finalize and publish them with a single click when you’re ready. This is especially useful if you need to adjust start times, locations, or other details before making them public.

Removal/Bailout Reasons

Here, you can adjust if, in case of a bailout or removal of a worker from a shift, there must be a provided reason. They can be such as "Changed mind", "Family issues", "Had to cover a different event" or anything that may happen to your workers.

Time Tracking Settings

In Roosted's Time Tracking settings, you can customize various aspects to streamline and manage time punches effectively. Here’s a breakdown of the available options:

Allow workers to punch in for events.

  • Enabled: Workers can punch in for their shifts independently.

  • Disabled: Only Reviewers, Event Time Tracking Managers, or admins can punch workers in.

Pre-Approve All-Time Punches

  • This setting allows time punches to be automatically approved if they meet the predefined criteria. This reduces the need for manual approval by an admin. Further details on time-tracking settings will be covered later in this article.

Allow Workers to Sign Off on Time Punches

  • Workers can sign off on their time punches at the end of their shift, helping to minimize disputes related to hours worked.

Custom Legal Acknowledgement

  • This feature enables workers to indicate their agreement or acknowledgment when punching out of a shift.

Reviewer Punches

  • You can grant Reviewers the ability to punch workers in and out of their shifts.

Selfie Verification

  • Request a selfie from workers at the time of their punch, and make it a requirement if desired. This ensures the identity of the worker when clocking in or out.

Location Tracking and Geo-Fencing

  • Collect location data from workers at the time of their punch. You can also enable Geo-Fencing to restrict the distance a worker can punch in or out from the event location.

Early and Late Punches

  • Enable settings to limit how early workers can punch in before their shift starts and how late they can punch out after their shift ends. Adjust the sliders to set these limits.

Payroll Period Settings

  • Fiscal Start of Week: Choose the day your payroll period begins.

  • Maximum Normal Shift Time: Set the maximum shift length. Shifts longer than this will be flagged in the Time Tracking Module. For example, if set to 8 hours, a shift clocked at 8 hours and 1 minute will be flagged for approval.

Time Format

  • Toggle between AM/PM and 24-hour clock formats for the Time Tracking Module.

Overtime and Doubletime Settings

  • Use sliders to set parameters for Daily Overtime, Daily Doubletime, Weekly Overtime, and Weekly Doubletime. These settings will be applied in the Time Tracking Module when tracking worker hours.

Payroll Period Options

  • Select the frequency of your payroll period: Weekly, Every 2 Weeks, Twice a Month, or Monthly.

These settings provide comprehensive control over time tracking and payroll management, ensuring accurate tracking and compliance with your organization's policies.

Worker Hours Display

Worker Hours Display allows a worker to see their time tracking hours and their future expected hours on their Roosted Mobile App.

Reimbursements

Reimbursements are a way of paying your workers for expenses or mileage that they have incurred as part of working a shift.

Client Signature

The Event Time Tracking Manager, Admins & Owners can receive a signature from the client at the end of the shift.
